Terms & Conditions

1. Prospective Members

1.1 Every prospective member is offered a free trial class so that they may evaluate our services.
1.2 Free uniform offer is subject to student sign-up and making their initial payment for one of our programmes.

2. Membership

2.1 Students must complete the registration process and provide accurate personal information.
2.2 Students under the age of 18 must have parental or guardian consent to register.
2.3 Provision of our service is subject to payment of our published fees and conduct in accordance with the standards laid out in our safeguarding policy, and codes of conduct.
2.4 Breach of our safeguarding rules or non-payment may result in our cancelling your membership.
2.5 To cancel or suspend membership, Phoenix Martial Arts requires a minimum of 30 days’ notice submitted in writing via email to info@phoenixmartialarts.academy. Notice must be given before the start of a new billing cycle; the next full calendar month’s tuition will still be payable, and training may continue during that time. Partial refunds or pro-rata adjustments will not be issued during and/or for mid-month cancellations.

3. Fees and Billing Cycle

3.1 Tuition fees are collected on the 1st of each calendar month, or by one of our annual discounted rates.
3.2 Tuition payments are processed automatically on the scheduled due date. In the event of a failed payment, our payment processor will make up to two further attempts within the subsequent 48 hours. Should the payment remain unsuccessful following these attempts, a secure payment link will be issued to facilitate manual settlement. In such an event, an additional invoice for £7.50 will be raised to cover manual processing costs. This administrative charge must be paid in full and settled accordingly to ensure training remains uninterrupted. Refer to clause 3.3.
3.3 Once a secure payment link has been issued, Phoenix Martial Arts reserves the right to suspend access to training classes until the outstanding fee has been paid in full. We also reserve the right to instruct a collection agency to act on our behalf in recovering payments that fall within the scope of our terms and conditions.
3.4 It is the responsibility of the payer to ensure that their card details used for recurring tuition payments are accurate and kept up to date.
3.5 Tuition fees cover all standard training and belt promotions – so there are no unexpected charges for grading or advancement.
3.6 Each billing cycle is calculated based on an equal number of four weeks per calendar month; therefore, payment collection amounts remain fixed and do not vary. Members are charged for 48 weeks within a 52-week year, allowing for scheduled school closures during holiday periods and any voluntary student absences. As such, payment breaks are not applicable and should not be requested. Members who miss classes due to illness or pre-booked holidays are encouraged to arrange make-up sessions in line with clause 4.4, where possible
3.7 All fees paid to Phoenix Martial Arts are non-refundable unless otherwise stated.
3.8 Phoenix Martial Arts will keep training fees affordable. However, to account for rising operational costs, we may periodically need to adjust our fees. Any changes will be communicated well in advance, and you will be informed of updates.

4. Attendance and Punctuality

4.1 Students are expected to attend classes regularly and arrive on time.
4.2 If a student is unable to attend a class, please inform us in advance wherever possible.
4.3 Students or their parent/guardian are expected to pre-book their classes in advance using the student app, allowing instructors to better plan ahead.
4.4 If a student misses a class due to illness or a pre-booked holiday, they are encouraged to make up the missed session either in the week before or after their absence, where possible. Make-up sessions outside of this timeframe may be arranged at the discretion of Phoenix Martial Arts, subject to availability. We encourage students to speak with us in advance so we can do our best to accommodate.
4.5 Students are expected to attend all classes wearing the full official Phoenix Martial Arts uniform. If the traditional uniform is not practical, an approved t-shirt and shorts combination may be worn instead. These alternatives are available for purchase through our official catalogue.

5. Health and Safety

5.1 Phoenix Martial Arts should be made aware of any pre-existing medical conditions, or prior injuries that may affect a student’s participation in classes.
5.2 Students are responsible for their own safety during training and must follow the instructions of the instructors.
5.3 Students under the age of 18 years always remain the responsibility of Parent/Guardian.
5.4 Phoenix Martial Arts reserve the right to refuse participation to any student who is deemed to be unfit for training.

6. Class Durations

6.1 Beginner (White-belt) classes are approximately 45 minutes long.
6.2 Once students have earned their Red Belt, typically after around two months of training, they will be invited to extend their session by an additional 10-15 minutes for advanced training drills. This transition allows for continued development and is part of the progression to more advanced levels

7. Liability

7.1 Phoenix Martial Arts and its instructors will not be held liable for any injuries, accidents or loss of personal property that may occur while on the premises.

8. Media

8.1 As a member of Phoenix Martial Arts, you acknowledge that photographs and videos may be taken for promotional purposes.
8.2 If you do not wish to be photographed or recorded, please notify us in writing to info@phoenixmartialarts.academy as soon as possible. We will make every effort to ensure that your preferences are respected.
